Common questions
What's included in bookkeeping services?
Bookkeeping covers recording your income and expenses in accounting software, entering transactions from all of your accounts, and balancing the ledger so debits and credits agree. Each month your bank, credit card, and loan accounts are reconciled, and any discrepancies are flagged and reported to you. It also includes tracking what customers owe you and what you owe vendors, and keeping payroll records accurate.
What records will you keep organized?
Profit and loss statements, balance sheets, cash flow reports, bank statements, business expense reports, and payroll and employment tax records. These are the documents you, your CPA, or a lender will ask for most often.
What's the difference between a bookkeeper and an accountant?
A bookkeeper records and organizes your financial transactions and produces your monthly reports. An accountant or CPA uses those records for tax filing, tax planning, and strategic advice, and that work depends on accurate books. I prepare clean books for your CPA; I don't file income tax returns or give tax advice.
When does it make sense to hire a bookkeeper?
Many owners start by doing their own books. As the business grows, with more customers, vendors, employees, and accounts, bookkeeping takes more of your time and errors become more costly. That's usually the point when handing it off pays for itself.
Can you help if I want to keep bookkeeping in-house?
Yes. I can set up your accounting system and chart of accounts, train you or a staff member, and review your books periodically so problems are caught early.
How do clean books help my business?
Accurate, current records give you a clear picture of the company's financial health, so you can measure growth and make decisions with real numbers instead of guesses. They also make tax season faster and less expensive.
Will organized books help if I'm audited or apply for a loan?
Yes. An audit isn't always a penalty; banks and investors sometimes request one to understand a business before lending or investing. If the IRS asks for documents, you'll need returns, receipts, and bank statements on hand, and well-kept books make those easy to produce. For tax representation during an IRS audit, work with a CPA or enrolled agent.
Do I need to use QuickBooks?
QuickBooks Online is recommended because it connects to your bank and lets us both see the same books. If you use something else, we'll talk about it during the consultation.
I'm behind on my books. Can you help?
Yes. Catch-up bookkeeping rebuilds past months from your bank statements and receipts, reconciles each one, and brings everything current before monthly service begins.
Do we have to meet in person?
No. Most work happens remotely through shared software and secure document uploads. In-person meetings are available throughout the St. Louis area.
How is my financial information kept secure?
Access is through your own software accounts with user permissions you control, and documents are exchanged through secure file sharing rather than email attachments.
